Switch your support email to Rinhelp

Customers keep writing to the support address they already know. Once your past conversations are in, you forward that address to Rinhelp instead of your old help desk, and new emails arrive in your Rinhelp inbox. Your AI agent sets up the Rinhelp side and asks you before each change.

When to switch

Switch after your AI agent has imported your past conversations. Until you do, new emails keep going to your old help desk, so nothing is lost while the import runs.

Steps

  1. Set your support address. The agent enters it in Rinhelp, and can set up sending from your own domain, so replies come from your support address rather than Rinhelp's. For that, you add two records where you manage your domain's DNS.
  2. Forward it to Rinhelp. You change the forwarding in your email provider, from your old help desk's address to your workspace's forwarding address. Only you can do this, in your provider's settings.
  3. Test it. The agent sends a test email to check that forwarding works.

Each step is described in full, with steps for Google Workspace, Gmail and Microsoft 365, in Set up email.

Then catch up

Between the import and the switch, some customers wrote to your old help desk. Once email comes to Rinhelp, the agent imports the conversations updated since the import began, adding only the new messages. Run it after you've also replaced your chat widget, so one catch-up covers both.

Good to know

  • A customer who replies to an email your old help desk sent starts a new conversation in Rinhelp.
  • Invite your teammates as part of the switch, so they can answer. Each one gets an email. See Your team.
